OUTLOOK SETUP

Step 1 – Add new account

Open the Mail application via your Dock or in the Applications folder in Finder.

  1. Click on Mail in the top bar
  2. Select Settings in the menu
  3. In the preferences window, click the Accounts tab if it’s not selected automatically.
  4. On the left side, you will see a list of all the existing email accounts in the Mail application. Click the small + icon in the bottom left corner of the list.
  5. In the new popup window, choose Other Mail Account… and click Continue.

This will open up the New account setup window.

Step 2 – Account Settings

In the New account setup window, enter the following:

  1. Name: The display name to show for the email account.
  2. Email Address: The email address you want to add.
  3. Password: The email account’s password.
  4. Click Sign In.

Step 3 – Mail server settings

The Mail application will attempt to verify your details but fail after a few moments, showing you an error message “Unable to verify account name and password”. This is normal and will not hinder you from continuing your setup.

Enter the following information:

  1. Email Address: Your email address.
  2. Username: Your email address.
  3. Password: Your email account password. (If not already filled in)
  4. Account Type: IMAP
  5. Incoming Mail Server: imap.one.com
  6. Outgoing Mail Server: send.one.com

Click Sign In.

Note: Weren’t you able to log in – Despite using the settings from above? Please check if you can log into Webmail. If you don’t remember your email password, read our guide on how to change your mail password.


Step 4 – Select apps to use

Next, you will be asked to Select the apps you want to use with this account. Here, ensure you only have selected Mail.

Click Done.

Step 5 – Setup email synchronisation

At this point, the Mail application will start downloading your emails and folders from our servers. Before we begin using the Mail application, setting up your email synchronisation is important to prevent emails from getting lost or moved to the wrong folder. This is particularly important if you wish to access the same email account on multiple devices, e.g. your computer and mobile devices.

By default, the Mail application will synchronise your Inbox, Drafts and custom folders automatically, but SentSpam and Trash folders will not be synchronised correctly.

To correct this, we need to go in and adjust some of our settings for our email account in the Mail application:

  1. Click on Mail in the menu at the top of the screen and select Settings.
  2. Click the Accounts tab in the Settings window.
  3. Select your email account in the left-hand menu.
  4. Once selected, click the Server Settings tab on the right-hand side of the window.
  5. Click the Advanced IMAP Settings button.
  6. In the small window that opens up, ensure that the IMAP Path Prefix is set to INBOX (in capital letters).
  7. Click OK to close the window.

Finally, In the Preferences window, click the Mailbox Behaviours tab and ensure you have the following setup:

  •  Drafts Mailbox is set to INBOX/Drafts
  •  Sent Mailbox is set to INBOX/Sent
  •  Junk Mailbox is set to INBOX/Spam
  •  Trash Mailbox is set to INBOX/Trash

Once you select the folder, the Mail application will connect it and change the name by appending INBOX/ to it.

Note: Empty folders will not show up in the drop-down menu. If this is a brand new email account, log in to your email account via the one.com Webmail and place a draft email in the Drafts, Sent, Spam and Trash folders. This will allow the Mail application to see them and for you to select them in the drop-down menus.

Step 6 – You are done!

You did it! You can now use your one.com email account with the Mac Mail application!

Step 1 – Make sure you have the latest version

To ensure you have the latest version of Outlook, click Outlook in the upper left corner and choose About Outlook. Choose Check For Updates from the Help menu in the top menu to update.

Step 2 – Click Outlook > Preferences

Click Outlook in the top menu and select Preferences…

Step 3 – Click Accounts

In the new window that appears, click Accounts.

Step 4 – Click New Account

Choose New Account… by clicking the (+)-sign in the bottom left corner.

Step 5 – Enter your email address

Enter the email address you want to add, and click Continue.

Step 6 – Click Continue

Click Continue in the window that appears.

Step 7 – Enter your account details

Enter your email password, which is the one you use to access your Webmail, then click Add Account. Likely, the Email Address and username are already filled in; if not, type them in. Your username is the same as your email address.

Note: Outlook should automatically detect the server settings, but if not, click Show Advanced Settings and add the following:

  •  Type: IMAP
  •  Email Address: Enter the e-mail address you want to add, in this example “mail@one-example.com”
  •  IMAP Username: Your e-mail address.
  •  IMAP Password: The password you use when you’re logging in to your Webmail.
  •  IMAP Incoming Server: imap.one.com
  •  Check the box for:
    Use SSL to connect (recommended)
  •  Incoming server port: 993
  •  SMTP Username: your e-mail address.
  •  SMTP Password: the password you use when you’re logging in to your Webmail.
  •  SMTP Outgoing Server: send.one.com
  •  Check the box for:
    Use SSL to connect (recommended)
  •  Outgoing server port: 465

Step 8 – Done!

Your email account is now set up. Click Done to start using your email.

Note: If your Outlook doesn’t load all your folders and emails, you can revert to the Legacy Outlook version. Click Help at the top menu and Revert to Legacy Outlook.

 

Open Outlook and select File.

Select Advanced.

For Root folder path enter INBOX with uppercase letters.

Click OK

The setup is complete

Open Outlook and select Tools. Click Account Settings.

Click More Settings.

The Outlook 2007 setup is finished.

 

MOBILE PHONES SETUP

Step 1 – Go to Settings > Apps

Open Settings on your iPhone, scroll down and tap Apps.

Step 2 – Tap Mail

Step 4 – Tap Add Account

Step 5 – Tap Other

In this window, you will see all the account options available; select Other as the type of account.

Step 6 – Tap Add Mail Account

Tap Add Mail Account at the top of your screen.

Step 7 – Enter your account details

Enter the account details for the email you want to add:

  1. Name: the display name, which is the name your recipients will see when you’re sending an email to them.
  2. Email: the email address you want to add.
  3. Password: the password you use when you’re logging in to your Webmail.
  4. Description: a name for the account on your device.

Tap Next to continue.

Step 8 – Select IMAP

If not already selected, choose IMAP as the account type.

Step 9 – Enter your server settings

Enter the following settings:

Incoming mail server:

  •  Host Name: imap.one.com
  •  Username: your email address
  •  Password: the one you use for Webmail

Outgoing mail server:

  •  Host Name: send.one.com
  •  Username: your email address
  •  Password: the one you use for Webmail

Tap Next in the upper-right corner to continue.

Note: Even though it says optional, the username and password must also be entered in Outgoing mail server settings.

Step 10 – Tap Save

Make sure syncing of Notes is disabled and the slider is grey. Tap Save to continue.

Step 11 – Tap the account you added

Tap the account you just added. You can recognise it by the description.

Step 13 – Tap Advanced

Tap Advanced, at the bottom of your screen.

Step 14 – Check Mailbox behaviours

Check if the Mailbox behaviours are set correctly. These settings determine where your emails are saved.

You need to select the following folders on the server:

  • Drafts Mailbox: Drafts
  • Sent Mailbox: Sent
  • Deleted Mailbox: Trash
  • Archive Mailbox: Archive

Make sure the Mailbox behaviours are set correctly. These settings determine the location where your emails are saved.

Tap the mailbox and select the correct folder on the server if no folder is selected. The name of the folder is in English.

Note: If you don’t see the folder, log in to Webmail, place an email in the unavailable folder, and then try again.

Step 15 – Enter IMAP Path Prefix

Scroll down to the bottom of the screen and enter INBOX as IMAP Path Prefix, all in capitals.

Step 16 – Tap the “Back” button and Done

Tap the “Back” button (arrow) in the upper left corner, then tap Done to save.

Step 17 – Done!

Congratulations! Your account is now set up correctly on your iPhone.

Step 1 – Open the email app

Open the Email app on your Android device.

Step 2 – Tap Other

Tap Other.

Note: If you already have another account set up, tap the menu in the top left corner then the gear icon, and then Add account.

Step 3 – Enter your email and password

  1. Enter the email account you want to set up.
  2. Enter your password, the same password you use for Webmail.
  3. Tap Sign in.

Step 4 – Done!

That’s it! Your account is now set up and your emails and folders will be synced as well.

Tip: If you want to change your name or signature, tap the menu in the top left corner and then the gear icon.
